SUMMER CAMP CANCELLATION 

60 days before camp: Full Refund (minus $50 processing fee)

30 days before camp: 50% Refund, 50% converted to credit

1-7 days before camp: No refund, 50% converted to credit

 

We can offer a full refund in any of the above scenarios if you can find a replacement to fill your spot.  

 

 

AFTERSCHOOL PROGRAM​

  • Monthly Tuition: Tuition is due at the time of registration and by the 1st of each month. Tuition must be paid in full by the 10th of each month. Payments received after the 15th will be subject to a late fee of $25. (for monthly afterschool classes, our invoices are sent out via a platform called PROCARE)

  • Most months have four lessons, while some have three or five, but tuition is a flat fee monthly.

 

  • Tuition is charged by the month for the weeks that we are in session

 

  • Monthly payments must be made in full unless special pro-rating arrangements are made with WILACS.  There is no deduction for missed class due to students’ illness or holidays.

 

  • Students who follow class for one month are not obligated to join the next month. Notice about cancellation must be given before the 25th of the previous month.

  • Material Fees: Some classes may require additional materials. The cost of materials are usually absorbed into monthly fee, unless stated otherwise.

  • Tuition can be paid via:  

    • Cash

    • Check (made payable to WILASC)

    • Credit card (paid directly online)

    • PayPal: Whidbey.wilasc@gmail.com

  • First 24-Hour Refund Policy: Students may receive a pro-rated refund for any after-school class within 24 hours of attending the first session of an afterschool class or camp. 

  • No Refund Policy: After the 24-hour window, refunds will not be issued unless the class is cancelled by WILASC due to instructor unavailability, program closure, weather inclement or unforeseen circumstances..

  • Students can opt to change from one class to another if there is availability.

TRY-OUT CLASSES: 

  • If you wish to try out a class, please contact us to confirm availability. Try-out classes are at $23.00 per hour.

MISSED CLASS DUE TO STUDENTS' ILLNESS, VACATIONS, OR OTHER REASONS

  • Please contact us (hello@wilasc.com) if you know you will miss a class. This is especially important if students are unaccompanied when they come to class (e.g. if they come to our learning center from a school bus or if they are joining an on-campus afterschool program)

  • There is no refunds for missed classes due to students’ illness, vacation or other reasons related to students’ availability.

  • If you have to be absent for an extended period of time, please contact us beforehand for special arrangements.​​

 

CANCELLATION 

  • Requests for withdrawal must be made at least  1 weeks  prior to the start date to receive a full refund. Any registration canceled with less than 1 weeks notice will not be refunded, but we can transfer them into class credit for future use.

  • You can transfer the ticket to another student if necessary. Transfers must be made for the whole course and not partially. 

  • To cancel your registration, please email us with your name, camper name, and registration information.

CANCELLATION DUE TO MEDICAL OR EMERGENCY CIRCUMSTANCES

In some cases, refunds may be granted after the cancellation and refund period for medical or emergencies circumstances only. A written notice of cancellation with explanation of medical or emergency circumstances must be provided for a refund request to be considered. Partial or full refunds for medical or emergency circumstances will be at the discretion of WILASC after reviewing the request.

GENERAL POLICIES

  • Student Conduct: Students are expected to behave respectfully towards staff and fellow students. Disruptive or disrespectful behavior may result in dismissal from the program.

  • Keeping the classroom clean: Our classes take place in classrooms that are used by other organizations at other times of the week. Keeping the shared premise clean and orderly is a priority for us.

  • Eating and drinking in class: Students may be allowed to eat and drink in the classroom but must help to ensure that area is cleaned up afterward.

  • Communication: Parents/guardians are encouraged to communicate with WILASC staff regarding any questions or concerns. Please contact us directly at hello@wilasc.com / 360 672 5882.
